This policy applies to all employees and management of Tokio Marine Safety Insurance (Thailand) PCL and its group companies. It provides expectations on the proper use of social media when refer to the company including their personal use of social media in their private capacity.
Social media is digital content and conversations created and shared by and between people using online tools for social interaction. Social media enables everyone to instantly share anything at any time with anyone - anywhere in the world.
Social media typically embodies the following characteristics:participation, openness, conversation, community, and connectedness.
As a marketing tool, social media gives brands an opportunity to create more touch points with customers and other stakeholders.
The social media platforms include, but are not limited to:
And other similar kind of social media.
3.1 Applicable guidelines, local laws & employment restrictions
Our code of conduct, compliance manuals, confidentiality obligations under your employment terms and other applicable guidelines and local laws drive our behavior and good judgment in the use of social media, which must be adhered to.
3.2 Use good judgment
Use the newspaper headline test: How would your posting look as a headline about Tokio Marine in a major business newspaper? Anything you post has the potential to be viewed by anyone, and – regardless of your intent – your comments could be misinterpreted by consumers, competitors, vendors, customers, other employees, and/or government regulators. Simply because the nature of online social media can be fast, easy, informal, and inexpensive, it does not mean that different rules apply for this space.
You must fully recognize the risks or characteristics of social media as per mentioned below and be careful to use it in full consideration of acceptable social norms and expected impact upon sharing of information.
(i) Anonymous and unilateral posting may be possible.
(ii) Information once posted online spreads faster than expected.
(iii) Information once posted online may be unable to be completely deleted.
3.3 Prohibitions
When using social media, you should be aware that it is not permitted to post any detailed and specific information related to your duties, without obtaining proper authorization or following definitive instruction from the company:
a) Do not post any confidential information including, but not limited to:
b) Do not post any customer information or personal information of other employees.
c) Avoid stating your personal opinions or views in a way that may be interpreted as a public statement made on behalf of the company or differing from the company’s official announcement.
d) Avoid stating your personal opinions or views in a way that may be interpreted as statement of praise by an ordinary customer.
e) Avoid stating your personal criticism against the company in a way that may damage its consumer confidence.
f) Do not post logo or corporate symbol of the company.
g) Do not post contents that are defamatory, discriminatory, antisocial, violent, senseless, immoral or anything of similar sentiment.
h) Do not infringe any intellectual property right such as copyrights or trademark rights, portrait right, right of privacy or any rights of others.
i) You must establish that all opinions and posts on your personal account are yours and yours alone. You should state that they do not reflect the views of your current employer.
3.4 Controls & Monitoring
Electronic messages are permanent, transferable records of your communications and can affect the reputation of our Company.
You should be cautious of privacy issues and you should never use the same password for your work email and your personal social media account.
Be mindful of the privacy settings on your personal account and always know who can see what you share. Platforms periodically update and change privacy settings, so stay as current as possible on those changes. Be mindful of the fact that your private connections could share your content and you have limited control over what your connections share.
You should notify the HR department, in the event that the Company gets implicated, to rectify the situation.
The Company reserves the rights to monitor postings made by employees on their personal social media accounts within and outside of the workplace.
3.5 Spokespersons
The designated media spokesperson shall be from Corporate Management Department. From time to time, there may be other persons designated to be the media spokesperson for the company depending on the subject matter at hand. Changes to this appointment can only be made by Corporate Management Department or similar management alternate.
Whenever taking a call from the media or approached by any media, please extend the same courtesy and professionalism we extend to all our customers and business partners. It is important that we promote a positive public image of Tokio Marine Group as this form the media’s first impression of the company and our staff.
Please remember to contact Corporate Management Department when you have been approached by the media. This will allow them to prepare the necessary response to the media in a timely manner.
Do not tell the media that you are not allowed to talk to them, but politely direct them to the appointed media contacts instead.
Do not be compelled by the media to give a response to their enquiries on the spot, and politely tell them that Corporate Management Department will be better able to respond to their enquiries fully.
You are required to seek written approval from Corporate Management Department before committing to participate in public programs, make public statements or communicate with the press, television, radio or any other media, deliver lectures or make public address, publish articles or books relating to any matters concerning the Company except for the Company’s publication.
3.6 Employee Participation
When you as a Tokio Marine Group employee or consultant participating in Tokio Marine Group-related topics in external social media, whether at work or during spare time, make it clear that you are not an official voice or spokesperson for the company. Adding a disclaimer such as, “comments and opinions are my own” to the bio or in the “about me” section of your profile should suffice on most platforms.
Do not misrepresent yourself – If you choose to post or participate in online conversations about Tokio Marine Group, identify your relationship with the company. Do not attempt to participate in these conversations dishonestly or anonymously.
When in doubt, ask – If you have concerns about the accuracy of a claim, or whether or not certain information is for public consumption, ask your manager or supervisor. You are responsible for the information you publish, even if it is on your personal account.
3.7 Confidential / Proprietary Information
Be familiar with the Information Security Policy of information you possess. For example, do not post financial information, business plan or proprietary information about Tokio Marine or your projects.
3.8 Intellectual Property
Usage of Tokio Marine’s intellectual property including copyrights, patents, trademarks, photos/videos, right of publicity (i.e., individuals’ names and likenesses), and other intangible property.
You may need to have documented permission to use third party’s intellectual property. Consult with your Compliance contact before using actual materials to ensure the proposed use complies with the permissions, consents, and/or license(s) granted to us.
3.9 Social Media Accounts
You are strictly prohibited to register any social media account associated with Tokio Marine Group, unless specifically authorized by the company.
When using Social Media in your personal capacity, always use your personal email, not your Tokio Marine Safety email address, unless you are interacting on a site used for professional development and association (e.g. LinkedIn). In those limited cases where you are using your Tokio Marine Safety email address for such professional development Social Media sites, never use the same password as you use for your Tokio Marine Intranet/email account. Your password for your Tokio Marine Intranet/email account must remain confidential.
To protect the privacy and personal security of you and other Tokio Marine Safety employees, when downloading apps to your PC or mobile device used for business purposes, do not allow transfer of your Tokio Marine contact lists, address books, or calendars to third party Social Media networking or other online websites or databases (e.g., Facebook, LinkedIn, etc.) since these parties’ privacy practices may not be the same as Tokio Marine. When prompted, do not allow Social Media sites to access your email contact lists located on Tokio Marine hardware and software (e.g., your contact list from your work email account).
3.10 Disclosures
If you talk about the Company or any of our brands or businesses—whether you are using social media for professional or personal purposes— make it known that you work for Tokio Marine Safety in every posts you made.
3.11 Endorsements
Posts on social media can be made only when you have approval from your supervisor or the appropriate responsible person and it must be regarding your work. Do not attempt to post information about Tokio Marine and/or our brands that appears to readers to be formally sponsored by Tokio Marine (e.g., if your posting looks like an official Tokio Marine press statement) unless you have approval from the appropriate responsible.
You can share official brand information the Company has already circulated through viral Social Media tools, but do not attempt to create your own official-looking posts.
As a Tokio Marine Safety employee you have ultimate responsibility for policy compliance by third parties within your job scope (e.g., our suppliers, agencies and others who may be construed as associated with the Company, such as friends, relatives, family members, etc., whom you incent, directly or indirectly, to speak about the Company and/or its products).
Do not submit consumer reviews for Tokio Marine’s products or competitive products. Writing Social Media postings that reflect our natural bias as employees of the Company (i.e., perceiving our products as good and competitive products as inferior) can lead regulators in many countries to bring deceptive business practice claims and result in legal liability and negative public relations.
3.12 Sanctions
You are responsible for knowing the Company’s principles, rules, and best practices before you engage in Social Media. If you become aware of policy violations, notify your immediate manager, HR Manager and Compliance & Legal Department.
We may request that employees make a public apology and/or to change or remove comments made in Social Media that are inconsistent with this Policy or that make inaccurate references to the Company, its brands, and/or stakeholders.
Failure to comply with this Policy may result in disciplinary action up to and including termination. You are always asked to calmly respond against any aggressive objection or comment on your information and to immediately correct it if you find any error or mistake in it.
